Challenge
Data Trapped in a Sea of Paper and Disparate Point Solutions
The company knew it was time to transition to an all-in-one Environmental Health & Safety (EHS) software solution due to the frustration of:
- Information spread across multiple paper and electronic sources
- Time wasted with redundant data entry
- Limited reporting and analysis capabilities
The Health, Safety, and Environment (HSE) team was managing policies and procedures through a combination of spreadsheets and Microsoft’s SharePoint, Power Apps, and Power BI products.
“Some projects required coding in three or four different programming languages,” the HSE specialist said. “Microsoft did not make it user-friendly.”
Other data wound up getting lost in a shuffle of paper. “We collect incident data, inspections, and Job Safety Analyses (JSAs), and we used to have them on paper. We’d never see them; they were stuck in piles on somebody’s desk. You had to find ‘that’ guy, then dig through paper. Or it was on one person’s computer,” the specialist explained.
As the company looked into other solutions, they found many products were one-trick ponies. “Some could just do HSE reporting, some were just a Learning Management System (LMS),” the specialist shared. The result was limited visibility to data and double—sometimes triple—data entry into the different software.

“Additionally, KPA gave our company the ability to share policies and procedures, handbooks, and checklists with every employee.”
“We couldn’t do that before because we don’t assign every employee an email address. We have many employees, and now everyone can use KPA wherever they are,” the specialist mentioned.
“And if we have an issue with Internet connection in the field, KPA is built to handle that,” the specialist noted. “It just updates when they get back to a good connection.”
Custom training is another highly valuable aspect of Flex for our company. “We can build custom training programs specific to our business in KPA that we couldn’t do in our previous LMS,” the specialist said.

“KPA has transformed the way we do a lot of things in our company. Pretty much every department is using it in some way,” the specialist said. “When we pitched KPA to our executive team, we said we wanted to share this with the whole company. Electronic forms, a Learning Management System (LMS), and document storage are not just HSE needs.”
Other teams realized how to build forms in KPA, run reports, utilize training, and other features. ‘This has made our business processes easier and removed a lot of frustration,” the specialist said.
Today, different departments including supply chain, maintenance, engineering, and housekeeping use KPA for functionality ranging from inspections, JSAs, and certification programs, to OSHA compliance, incident data, and more.

“We’re in charge of our data. KPA has made it accessible. It’s very easy to see the information we’re gathering. It gives HSE more oomph when we say there’s an issue. We can show you where the issue is.”
