Email Security Solution

Credit apps, payoff letters, OEM notices and vendor invoices all come through email, and so do the people pretending to send them. Harmony Email scans every message before it reaches the inbox, so a fake payoff request gets stopped before anyone in accounting sees it.

Email Security for Sales, F&I and the Back Office

A dealership runs on email from people it has never met: a new lender rep, a parts vendor, an OEM program manager, a customer sending a driver’s license scan. Your sales, F&I and office staff open dozens of outside attachments a day because that’s the job. Harmony Email checks every one so they can keep doing the job.

Email Security Features

Three layers between the inbox and a bad day.

Stops Phishing Before the Inbox

  • Every message is scanned for malicious links, attachments and phishing before delivery. That includes the ones that get past the filter built into your email platform.

Catches the Fake Lender

  • Harmony Email flags lookalike domains and impersonated senders, like a “lender” one letter off from the real one or a vendor whose banking details suddenly changed. Suspicious attachments are opened in a sandbox first, and a clean copy is delivered if the original is risky.

A Record You Can Hand Over

  • Every blocked threat is logged with sender, recipient and action taken. That gives IT a clear history to show auditors, insurers and the Qualified Individual named in your Safeguards program.

Regulatory Spotlight

FTC Safeguards Rule: Protecting What Moves Through Email

Deal jackets, credit applications and license scans travel by email every day, and all of it is customer information under the FTC Safeguards Rule. The rule requires dealers to control the risks they find, train staff to spot threats, and notify the FTC within 30 days of a breach that exposes unencrypted data on 500 or more customers. A compromised inbox can trigger that notice all by itself.

Use Case: The Payoff Wire

A trade-in comes in with a loan balance. The next morning, the office manager gets an email from the “lender” with updated wire instructions for the payoff. It has the right logo, the right loan number and a signature block that matches the last one.

Without Harmony Email
The email lands in the inbox looking exactly like the real thing. The office wires the payoff to the new account. Two weeks later the real lender calls asking where the money is. The dealership is out the full payoff and still owes it.

With Harmony Email

The message is flagged before delivery. The sending domain is a lookalike registered three days earlier, and the reply-to address doesn’t match. It’s quarantined, IT sees the alert, and the office manager never has to wonder whether it was real. The payoff goes to the real lender, once.

Why It Matters
  • Business email compromise cost U.S. organizations just over $3 billion in 2025 across 24,768 reported incidents, an average of roughly $121,000 each. (FBI IC3 data, via Insurance Business, 2026)
  • In Beau Townsend Ford v. Don Hinds Ford (S.D. Ohio, 2017), scammers inside a dealer’s email redirected a $736,000 vehicle payment. The court ruled the buying dealer still owed the full amount. (2017 WL 4237028)
